Connect your Microsoft 365 organization once so the Copilot and automations can work with your shared mailboxes (Email), SharePoint files (Files) and Teams. You turn each part on separately, and Mercora uses only the mailboxes, folders and channels you list. Reading runs on its own; sending, posting or changing a file always waits for an Approve on a card that shows exactly what will happen.
Microsoft 365 and its Email, Files and Teams parts are workspace modules. Only workspace admins can connect Microsoft 365 or change its settings.

Connect your organization

You need to be a Mercora workspace admin, and an administrator of your Microsoft 365 organization must take part.
1

Open the Microsoft 365 page

Go to Settings → Integrations and click Microsoft 365.
2

Enter your organization

Under Connection, type your Microsoft 365 domain (for example veltana.example) or tenant id, and click Connect Microsoft 365.
3

Grant consent

A Microsoft administrator who can grant tenant-wide consent (such as a Global Administrator, Privileged Role Administrator, Cloud Application Administrator, Application Administrator or AI Administrator) grants admin consent and signs in.
4

Turn on the parts you want

Back in Mercora, switch on Email, Files and Teams as needed.
One Microsoft 365 organization can be connected to one workspace. Check confirms the connection works and which parts your IT team left on. A part marked Blocked by your Microsoft admin names the right it’s missing: ask your IT team to grant it to Mercora’s app in Microsoft Entra. Workspaces connected through an earlier SharePoint setup sign in once with Confirm organization before Email and Teams can be turned on.

Email

1

Add a mailbox

Under Mailboxes, enter a shared mailbox address (for example ops@veltana.example) and a name your team knows it by, then click Add mailbox.
2

Limit Mercora to these mailboxes (recommended)

Microsoft grants Mercora’s app every mailbox in your organization. Open Limit Mercora to these mailboxes in Exchange, run the commands it shows in Exchange Online PowerShell, then remove the app’s Mail and Calendars permissions in Microsoft Entra. Tick Done in Exchange.
The Copilot and automations can then find and read emails in these mailboxes. Sending, replying, forwarding, drafting and adding calendar events each wait for an Approve. A member’s own mailbox is never on this list: it needs their own sign-in.

Files

In SharePoint, use Copy link on a folder or an Excel file. Then, under SharePoint, paste it into Add a SharePoint link and add it.
  • A folder lets the Copilot find, read and save files there.
  • An Excel workbook lets it read and edit rows.
  • Other files are refused: add their folder instead.
Updating cells, adding a row and saving a file each wait for an Approve. Saving never overwrites an existing file.

The freight master

Click Make freight master on one workbook. It then reads “Changed only through Freight Rates”: ordinary file actions refuse it, whoever asks, and it changes only through the Freight rates review.

Teams

1

Download the app package

Under Setup, click Download app package. It’s unavailable until the Mercora team has set up Teams for your workspace.
2

Upload it to Teams

Upload the package in the Teams admin center, or as a custom app.
3

Add Mercora to teams and chats

Each one then appears under Chats and channels, with capture off.
Chat with the Copilot. Each member sends Mercora any message in Teams and clicks Link my Mercora account on the reply (members already signed in with their own Microsoft account are linked straight away). It’s the same Copilot as on Home, with your own access. Changes show a card with Approve, Edit and Reject that only the person who asked can decide; a new message expires any waiting card. In a channel or group chat, mention @Mercora and it answers you privately; click Post to thread to share the answer. Capture deals from channels. Mercora reads nothing from a channel or group chat until an admin chooses a setting under Chats and channels:
  • Off: Mercora reads nothing.
  • Deal capture: posts are screened for deals, which go to the Inbox for review. A post’s text is kept only until it’s screened. See Deal capture.
  • Automations: posts go to the automations listening there.
Changing the setting posts a notice in that conversation. 1:1 chats are never captured. Members lists who has linked their Teams account; revoking a link signs that person out of Mercora in Teams.

Your own Microsoft sign-in

Once the workspace is connected, any member can go to Settings → Integrations → Personal → Microsoft 365 and click Sign in with Microsoft. The Copilot can then read your mail, files and Teams messages, and draft as you; every send waits for your Approve. Use Disconnect there to stop, or Unlink for your Teams account. Automations never use a member’s own sign-in: they act only as the workspace.

Permissions and actions

A member’s Email permission at View reads the connected mailboxes and Teams channels; at Edit it also sends, replies, drafts and posts. Files works the same way for SharePoint files and workbooks. At the bottom of the Microsoft 365 page, an admin chooses which actions automations and the Copilot may use. See Control what Mercora may do.

Disconnect

Disconnect on the Microsoft 365 page stops Mercora using your mailboxes, files and Teams, ends every member’s own sign-in and Teams link, and turns capture off. Your lists are kept for when you reconnect. To withdraw consent, your Microsoft administrator removes Mercora’s app in Microsoft Entra.

Next steps

  • Deal capture: review deals captured from your channels and mailboxes.
  • Automations: start automations from emails and Teams posts.
