Financials lists every invoice on every trade, with what’s been paid and what’s still open. Use it to see what you owe, what you’re owed and what’s late without opening trades one by one.
Needs the Financials module. Ask your workspace admin. Invoices appear once they’re approved in the Inbox. Closing, linking and netting invoices are done on each trade’s Financials tab.

See what’s outstanding

Outstanding AR (owed to you) and Outstanding AP (owed by you) at the top show one amount per currency. Currencies are never added together. With only the sugar trade VCS-S-2026-0714 open and nothing paid, Veltana Commodities SA sees USD 15.26K AR (the sale invoice to Meridian Foodstuffs) and USD 14.26K AP (the invoice from Kanchana Siam Sugar).

Find an invoice

  • Direction: All, Receivable, Payable, or Needs direction for invoices Mercora couldn’t place on either side.
  • Status: Any status, Open, Overdue (outstanding and past its due date) or Settled / closed.
  • Search by counterparty, invoice number or trade reference.
Each row shows the counterparty and invoice number, trade, issue and due dates (red when overdue), amount and what’s outstanding. Credit notes are marked, and an invoice with no direction shows AR/AP?. Click the arrow at the start of a row to see its payments, or the row itself to open the invoice. The list updates as invoices are approved and paid. The status is Unpaid, Partial, Overpaid, Paid, Closed or Superseded, with the same meanings as on the trade’s Financials tab. Overpaid means more has been settled than invoiced. Sorting by status puts unpaid invoices first. To chase late payments, use the Overdue payments report. Unlike the Overdue filter, it reads payment schedules, so an installment that isn’t due yet isn’t counted as late.

The invoice page

  • Invoiced, Settled (payments, adjustments and linked invoices) and Outstanding at the top.
  • Details: counterparty, direction, trade, number, currency and dates. Correct them here, or move the invoice to another trade.
  • Source: the original document and its review status.
  • Payments and Adjustments: every settlement line. Record payment adds a payment; Add in the Adjustments card adds an adjustment such as a bank charge.
  • Payment schedule, if the invoice is paid in installments.
  • Lines: the line items, with Subtotal, Tax and total. A gap between them shows as Unexplained, so you can spot a missed charge.
  • Any custom fields your admin has added.
Record payment here doesn’t ask for an exchange rate. For an invoice in a different currency from its trade, record the payment on the trade’s Financials tab so the bank’s rate is captured.
